A weekly workflow for recurring bills and paychecks

Track recurring bills by listing every repeating charge and deposit once, letting Cash Captain generate expected dates, then each week separating what is still due from what you paid, skipped, or linked. That beats retyping Netflix every month or relying on reminders that never touch your ledger.

Step 1: List everything that repeats

Start with what already repeats: rent, utilities, subscriptions, loan payments, salary, and regular transfers to savings or credit cards. Ignore one-off purchases for now.

In Cash Captain, add each as a recurring rule on the Recurring tab. Or log it once in Quick Entry and check Make recurring in the preview when you recognize the pattern.

Step 2: Scan due, upcoming, and paid

Cash Captain generates expected occurrences from your rules. Open the list view and scan past due, due now, and upcoming before you pay anything.

After you handle an item, record it from the occurrence row so it lands in Transactions with the right category and account. Paid this period shows what you already closed out.

Step 3: Skip what you did not owe

Not every expected date needs a transaction. Skip gym months you did not attend, promotional months you skipped, or bills someone else covered.

Skipped items stay visible in their section so you remember what you chose not to pay. You can unskip if plans change.

Step 5: Use the calendar for heavy weeks

Switch to calendar view when you want to see bill density across the month. Heavy weeks become obvious before they hit your balance.

Pair a monthly calendar scan with your weekly list review: list for action items, calendar for planning.

Step 6: Keep rules current

Subscriptions change price. Jobs change pay dates. Roommates move out. Pause, resume, end, or archive rules from the item detail sheet instead of letting stale rules clutter your list.

When a price changes permanently, edit this and future on the next occurrence so upcoming dates reflect the new amount.

How often should I review recurring money?
A quick weekly pass on the list view handles most due items. Add a monthly calendar scan when you want to spot heavy billing weeks ahead of time.
Should I log subscriptions in Transactions or Recurring?
Set up the rule in Recurring so dates generate automatically. Record or link from the occurrence when money moves. That keeps Transactions accurate without retyping the merchant every month.
What if the amount changes every month?
Use estimated or range amount modes when you create the rule, then record or link the actual amount when you pay. Variance shows on linked occurrences.
