Know what bills are coming before they hit
8 mins read | June 27, 2026
Recurring bill tracking in Cash Captain puts rent, subscriptions, paychecks, and transfers on a dedicated Recurring tab. You see expected dates, what is due or overdue, and you can record, skip, or link each occurrence to the transaction that actually moved.
Why recurring bills still catch people off guard
Subscription creep is quiet. A free trial becomes a line item. A gym membership outlives the motivation. Rent lands on the same day you forgot to check the balance.
Reminder apps can ping you before a due date, but they do not know whether you paid, skipped a month, or already logged the charge. Cash Captain treats recurring money as part of your ledger, not a separate alarm clock.
One tab for bills, income, and transfers
The Recurring tab handles expenses (utilities, streaming, loans), income (salary, freelance retainers), and transfers (savings sweeps, credit-card payments) with the same workflow.
Each item is a rule with a cadence (weekly, monthly, quarterly, and more). Cash Captain generates expected occurrences so you see what should happen before it hits your accounts.
- Expense rules for rent, subscriptions, and predictable bills
- Income rules for paychecks and repeating deposits
- Transfer rules between accounts, including multi-currency workspaces
- Household and personal scope so shared bills stay visible to the right people
List view and calendar view
Open Recurring and switch between list and calendar with the toggle at the top. The list groups occurrences into past due, due now, upcoming, paid this period, and skipped.
The calendar lays the same occurrences on a month grid when you want to scan due dates at a glance or plan around a heavy billing week.
What you can do with each occurrence
Every expected date is an occurrence with a status you can act on. Past due and due now mean money you still need to handle. Upcoming is on the horizon. Paid and skipped are closed for that date.
When you already logged the transaction in Transactions, link the occurrence instead of recording twice. Linked occurrences show the matched amount and variance when the real charge differed from the estimate.
- Record: create the expense, income, or transfer from the occurrence in one flow
- Skip: mark an occurrence you do not owe this cycle (and unskip if plans change)
- Link: attach an existing ledger transaction when the money already moved
- Edit: adjust a single occurrence or update this-and-future when a rule changes
Spin up rules from Quick Entry
Logging something you pay every month? Parse it in Quick Entry, then check Make recurring in the preview. Cash Captain collects cadence and schedule details separately. Recurrence is explicit, not hidden in syntax.
That keeps everyday coffee runs fast while still letting you create a subscription rule the first time you notice the charge.
Connected to your budget and insights
Apps that only remind you before a due date do not know if you paid, do not connect to your categories, and cannot show whether this month's Netflix matched what you budgeted.
Cash Captain links recurring occurrences to real transactions, categories, and insights. Predictable money feeds budgets and reports instead of living in a silo.
FAQ
- Can I track paychecks and other income?
- Yes. Create an income recurring rule with the cadence that matches your pay schedule. Occurrences record like expenses: mark paid, skip, or link when the deposit lands.
- What happens when I skip an occurrence?
- Skipped occurrences move to the skipped section for that period. You can unskip if you skipped by mistake. Skipping does not delete the underlying rule.
- How does linking to a transaction work?
- Choose Link on a due occurrence and search for an unlinked transaction of the same type. Cash Captain attaches it and shows actual amount and variance when the charge differed from the estimate.
- Do recurring transfers work across currencies?
- Yes. Recurring transfers follow the same record, skip, and link workflow as expenses, including workspaces that mix currencies on different accounts.
- Can I pause or end a subscription without losing history?
- Yes. Pause, resume, end, or archive a recurring item from its detail view. History stays intact so past paid occurrences remain in your ledger.
